ProAxis Privacy Policy & Client Data Practices
Last Updated: March 2026
ProAxis Tax & Accounting Services ("ProAxis," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website at www.proaxiscpa.com or engage our professional services.
Information We Collect
We collect information you provide directly to us, including:
- Contact information (name, email address, phone number)
- Business information (business name, type, revenue range)
- Financial and tax documents you share with us as part of our professional services
- Communications you send to us via email, phone, or our contact form
We may also automatically collect certain technical information when you visit our website, including IP address, browser type, pages visited, and time spent on pages.
How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve our tax and accounting services
- Respond to your inquiries and communicate with you about our services
- Prepare tax returns and financial documents as engaged by you
- Send you updates about tax deadlines, law changes, or services relevant to your situation (you may opt out at any time)
- Comply with legal obligations, including tax law and professional standards
- Improve our website and marketing efforts through analytics
Information Security
We take the security of your information seriously. We use 256-bit SSL/TLS encryption for all data transmitted between you and our systems. Client documents are stored in secure, encrypted cloud systems. We maintain professional standards required by the AICPA Code of Professional Conduct regarding confidentiality of client information.
Professional Confidentiality
As licensed CPAs, we are bound by professional ethics rules regarding client confidentiality. We do not disclose client information to third parties except as required by law, with your consent, or as necessary to provide the services you have engaged us for (such as filing tax returns with the IRS or NJ Division of Taxation).
Third-Party Services
We may use third-party service providers to help operate our website and deliver our services, including accounting software providers (QuickBooks, etc.), secure document portals, email service providers, and website analytics (Google Analytics). These third parties have their own privacy policies and are contractually required to protect your information.
Cookies
Our website may use cookies to improve your browsing experience and analyze website traffic. You can control cookie settings through your browser settings. Disabling cookies may affect some website functionality.
Data Retention
We retain client records for the period required by professional standards and applicable law. Tax-return preparation files, supporting workpapers, and engagement-letter records are retained for a minimum of seven years from the filing date, consistent with IRS Circular 230 and the AICPA Statements on Standards for Tax Services. Some categories of records — including those related to property basis, depreciation schedules, and items that affect future-year returns — are retained for longer where the underlying tax position remains open. Contact-form submissions and prospective-client communications that do not result in an engagement are retained for a shorter period, typically 24 months, after which they are securely deleted.
Your Rights
You may request access to, correction of, or deletion of your personal information by contacting us at info@proaxiscpa.com. Note that certain information must be retained to comply with tax law, professional standards, and legal requirements (see Data Retention above).
State-Specific Privacy Rights
Residents of certain states have additional rights under state privacy law. New Jersey residents have rights under the New Jersey Data Privacy Act, including the right to know what personal information is collected, the right to correct inaccurate information, and the right to opt out of the sale of personal information (we do not sell personal information). New York residents have rights under the New York SHIELD Act, which imposes data-security obligations on businesses that hold personal information of New York residents. California residents, where applicable, have rights under the California Consumer Privacy Act, including the rights enumerated above and the right to non-discrimination for exercising those rights. To exercise any of these rights, contact us at info@proaxiscpa.com with the subject line "Privacy Rights Request" — we will respond within the timeframe required by the applicable state law.
Information Provided to the IRS and State Tax Agencies
As part of preparing and filing tax returns on behalf of engaged clients, we transmit return information to the Internal Revenue Service, the New Jersey Division of Taxation, the New York State Department of Taxation and Finance, the Pennsylvania Department of Revenue, and other federal, state, and local tax agencies as required by the tax filings being prepared. Information transmitted to tax agencies is governed by federal and state taxpayer-privacy law (including IRC Section 6103 and analogous state provisions), not by this Privacy Policy. We do not separately use, share, or disclose tax-return information except as authorized by IRC Section 7216 and the corresponding regulations governing tax-return preparers.
Children's Privacy
Our website and services are not directed to children under 13. We do not knowingly collect personal information from children under 13.
Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated policy on this page with a new "Last Updated" date.
